JOB SUMMARY/PURPOSE: Greets visitors; response to requests for information; answers and directs telephone calls; and, when needed, assists secretarial staff.
MINIMUM QUALIFICATIONS:
1. High School Diploma or it's Equivalent.
2. Excellent command of the English language.
3. Possesses empathy for callers and visitors.
4. Possess a genuine interest in District goals.
5. Basic secretarial skills, including use of a computer.
6. Listening skills.
7. Knowledge of the District’s organizational chart, policies, and personnel responsible for various programs.
DUTIES/RESPONSIBILITIES:
1. Essential Functions: Receptionist for the Middle School is to direct visitors to the proper locations departments.
2. Maintain excellent attendance in order to respond and direct telephone calls to building personnel including emergency situations such as snow days.
3. Perform multiple tasks within a stressful time frame.
4. Relates important information to the appropriate personnel.
5. Understands the valid relationship between what appears to be unrelated information.
6. Responds quickly and accurately to the high level of calls to the building.
7. Call for emergency support using District policy for guidance.
8. Effectively uses a computer to support secretarial tasks as assigned.
Job Responsibilities:
1. Greets all visitors and directs them to the appropriate office staff member.
2. Projects a positive impression for the public who visits or telephones the school.
3. Demonstrates a calm demeanor during stressful situations.
4. Responds quickly and accurately to requests for information.
5. Receives materials from visitors and forwards to the appropriate department or person.
6. Using the computer to assist the secretarial staff with overflow projects.
7. Takes accurate telephone messages and directs to the appropriate staff member, student or others.
8. Listens closely to requests for information and attempts to direct the calling party to the appropriate department or staff manager.
9. Assist any late student arrivals.
10. Keeps a daily log of all visitors to the building.
11. Performs other duties as assigned.
