Registrar

 

JOB SUMMARY/PURPOSE: To prepare, process and maintain student permanent records for current and promoted students and prepare data for grade reporting.

 

MINIMUM QUALIFICATIONS:
1. A high school diploma or its equivalent and experience with student information systems.

 

KNOWLEDGE/SKILLS:
1. The ability to do detailed work accurately and efficiently.
2. Knows and uses proper telephone etiquette.
3. Able to handle stress.
4. Discretion in handling confidential information.
5. A thorough knowledge of office procedures.
6. The ability to use computational devices.
7. Excellent typing, grammar and proofreading skills.
8. Excellent organizational skills and able to handle multiple tasks.
9. Excellent human relations skills.
10. The ability to maintain large and complex records and files.
11. Knowledge of Tyler SIS a plus

 

ESSENTIAL FUNCTIONS:
1. Receive, complete and maintain legal and district records for entering and exiting students.
2. Act as a liaison between schools and Central Registration.
3. Provide customer service to all visiting guests, parents and students. Answer questions politely and appropriately.
4. Correct and maintain accurate transcripts for all students past and present.
5. Accurately transcribe credits for incoming students, special programs, etc. in a timely manner.
6. Answer incoming calls related to registrar issues.
7. Help parents, students and other school registrars with transcripts, records and questions.
8. Provide and send all outgoing student records requests.
9. Track student movement and make all documentations needed to calculate data need for the middle school. 

 

DUTIES/RESPONSIBILITES:
The Registrar–is responsible for the following duties:
1. Compile academic data and corrections with related procedures.
2. Maintain permanent records including current, graduate, and dropped students (A-Z). Affix grade labels and test scores to permanent records.
3. Process progress and report cards as directed.
4. Evaluate and translate incoming student transcripts in coordination with Counselors. Also, make sure discipline records are received from prior schools for new students. This includes IEPs, MAP, grade change forms, medical information, and report cards.
5. Enter student activities and various honors and awards received to students permanent record cards.

6.Maintain student files/immunizations for 1 year.

7.  Schedule appointments for new students to meet with grade level counselor to create class schedule.
8. Create, process and distribute assorted reports needed by various staff members.
9. Complete government, military, insurance and employment forms and questionnaires.
10. Collect books or fines from students withdrawing from school.
11. Initiate correspondence related to duties.

12. Prepare summer school academic data.
13. Assist in answering questions from school personnel, students and parents.
14. Assist parents with correspondence needed.
15. Assist counselors.
16. Process Division of Family Services, Local Police and Court ordered information.
18. Coordinate with Foreign Language Department the Foreign Exchange students’ transcripts.
19. Purge files and prepare them for microfilming.
20. Other duties as assigned.
